Terms & Conditions
The following terms and conditions are set out to make all parties aware of the services being provided and the responsibilities of all parties involved. Weddings are filmed as they happen with no retakes normally possible. They are truly a once in a lifetime event that makes them so special and memorable. We do our best to capture the day as it happened so that you can relive it for years to come, but capturing everything, simply isn't possible.

1. Pre-event Consultation
1.1 The parties agree to at least one pre-event consultation a minimum of 30-days prior to the date of the wedding (via video call). This will be used to gain acquaintance with the wedding couple and to finalise the shooting times and locations.

1.2 The videographer cannot be held liable for delays or disruption in their delivery of the service until any changes are received and acknowledged in writing.

2. Cooperation
2.1. In addition to the pre-event consultation, the details of the wedding arrangements are to be agreed in writing (via email). The Client shall notify Luke Taylor Videography of any changes to these details (venue, times, or contact details) as soon as possible in writing, and no closer than 14 days prior to the event. We will aim to accommodate reasonable changes, but cannot guarantee this, if for example the location changes to one much further away, or times made much earlier than previously agreed.​
3. Deposit/Payment
3.1 A non-refundable deposit of £150 confirms your booking, and is deductible from the final price with the remaining balance due 2 weeks prior to the date of the wedding.
​3.2 Dates are reserved only when the deposit fee is paid. Upon receipt, Luke Taylor Videography reserves the time and date agreed upon, and will not make any other reservations for that time and date. For this reason, the deposit is non-refundable, even if the date is changed or wedding cancelled for any reason.

3.3 An unconditional refund policy exists for a period of 14 days from receipt of the deposit. Once passed this fee is non-refundable except for exceptional circumstances. Failure to pay the remaining balance by the due date will be taken as an indication of cancellation of booking, with loss of deposit (unless otherwise agreed).
4. Cancellation
4.1 All cancellations must be confirmed in writing (via email) by the wedding couple.
4.2 Cancellations made ahead of 4 weeks prior to the date of the wedding will result in a loss of the deposit.

4.3 Cancellations made within 4 weeks of the wedding will not be entitled to a refund, unless previously agreed with Luke Taylor Videography. Should the cancelled wedding turn out to be a postponement, then at the discretion of Luke Taylor Videography and subject to availability, monies other than the initial deposit, may be applied to the new wedding date.

4.4 Should, for whatever reason, we need to cancel there will be a 100% refund of all monies paid.
​
4.5 Luke Taylor Videography strongly advises that all clients purchase wedding insurance, to cover the resulting costs due to cancellation or date change.
5. Package
5.1 The video package will be supplied at the price agreed on the date of booking / receipt of deposit.

5.2 Travel costs are calculated per mile travelled on the day of the wedding, pre-agreed with the wedding couple. These will be applied to the remaining balance invoice 4 weeks prior to the date of the wedding, with the invoice itself due 2 weeks prior.

6. Ownership
6.1 All videos captured by Luke Taylor Videography shall remain the property of Luke Taylor Videography.
​
6.2 Footage may be adjusted for exposure, brightness, contrast, sharpness and colour. The Videographer's judgement regarding these corrections shall be deemed correct.
​
7. Travel
7.1 Travel costs are paid in addition to the package price and are to be calculated and applied to the remaining balance invoice 4 weeks prior to the date of the wedding.

7.2 If there are multiple destinations (e.g. home of the bride’s parents, ceremony venue and reception venue), the final venue must be within 1 hour / 30 mile radius of RH12 3GL.

7.3 Distances will be reviewed on a case-by-case basis. This will be discussed during your pre-event consultation.
​
7.4 Travel is charged at 45p per mile, which will be calculated on the distances between each location travelled to on the day, with the total cost rounded down to the nearest £1.
​
7.5 A parking space must be made available to me at each of the agreed venues. I am not liable for any delays / missed footage caused by lack of parking availability.

8. Coverage
8.1 Luke Taylor Videography cannot be held responsible for restrictions placed by the marriage celebrant, church or venue. Nor can we be held responsible for a lack of coverage caused by members of the wedding party or guests not being present or available.
8.2 For a booking involving a church ceremony or at certain venues, the videographer's movements may be restricted by the official in charge. The area from which the videographer can cover the ceremony may not be the videographer’s preferred choice, and the videographer cannot accept responsibility for any obstructed view should this be the case. Luke Taylor Videography does not guarantee any specific image, location or background.

8.3 It must be noted that the day of the wedding is likely to be the videographer's first exposure to the venue(s), and as such, the best effort will be made to select an appropriate recording location in the time available.

9. Colour Matching
9.1 The dyes used for clothing, particularly man-made fibres, do not always photograph in the manner in which they appear to eye. Depending on the monitor on which your video is viewed, colours may appear differently. Luke Taylor Videography will endeavour to achieve the closest possible colour match within the limitations of the materials and processes used. It is understood that colour videography is undertaken within the technical limitations of the process and that viewing the video on different monitors or with different colour settings may show variations of colours.
10. Filming
10.1 It is the responsibility of the Client to obtain any permissions, licences and pay any fees to any venues/locations or entertainers/musicians performing, where filming will take place (if applicable). Unless you advise us otherwise, we will assume all persons attending the wedding have consented to being filmed.

10.2 We respect the wishes and regulations of anyone officiating at the wedding ceremony which may limit where we position cameras and other equipment. There may be other restrictions such as a limit to movement around the venue or certain parts of the ceremony which we are not allowed to film.
10.3 We make every effort to produce a quality film and ensure all our equipment is of the highest quality and regularly maintained. We cannot be held responsible for any lighting, sound or interference issues caused by circumstances outside our control. This includes adverse lighting, noise issues and restrictions imposed by venues.

10.4 We use our professional expertise and discretion to ensure that significant parts of the day are recorded. Unfortunately, we cannot guarantee that we will be able to record every aspect of the day as filming takes place 'live'. We retain artistic licence.

10.5 We aim to be as discreet as possible during the day, and work alongside the official photographer. We follow the events of the day as they unfold and therefore, are not in control of the setting. This may lead to some footage being in high shadow/contrast or partial/temporary obstruction of subjects being photographed/filmed or issues of low/mumbled/no sound. We may be unable to take footage if the official photographer is not willing to cooperate when they are working.

10.6 We do not usually film during the wedding breakfast, and take this opportunity to eat before setting up for the next shot.

10.7 Whilst we aim to film as much as possible during the day, we cannot guarantee a minimum amount of footage that will be taken on the day or a minimum length for a couple’s film, this is due to the ‘live-event’ nature of the day and the unique structure of each individual wedding.

10.8 The client shall assist and cooperate with the videographer in obtaining the desired footage. The videographer shall not be responsible for footage not taken as a result of the Client’s failure to provide reasonable assistance or cooperation.
11. Editing
​
11.1 During the pre-event consultation, the wedding couples music choice will be discussed. The final music selection can be confirmed in writing (via email) up to and including the date of the wedding. We will advise you if there are any particular issues with your choice. If no music choice is made, this will be selected at the discretion of the videographer.
11.2 We aim to have your final video ready within 6 weeks of the date of the wedding, however this is only a guide as ensuring you receive a quality output it of the utmost importance to us.

11.3 You must notify us in writing (via email) within 7 days of receipt of the final download link / USB stick, of any technical faults or playback issues, and we will make every reasonable attempt to resolve them. Should we not hear from you within 7 days, we will assume you are happy, and after which any adjustments will be made at the discretion of Luke Taylor Videography.

11.4 All editing decisions are down to the videographer’s discretion. The videographer will retouch, digitally manipulate and finish the videos according to their own discretion. We will do our utmost to include suggestions and ideas from couples, providing these are made in writing (via email) and received before the date of the wedding, however, we cannot guarantee that they will be included.
​
11.5 Couples are advised that the content, style and amount of footage recorded on the day can vary depending on the format of the wedding and the duration of variable elements (e.g. ceremony, speeches).
11.6 Individuals or couples cannot say the quality of the output is not up to standard if it meets the requirements of the Luke Taylor Videography portfolio.
​
11.7 Luke Taylor Videography retains the copyright of all materials recorded by them, however all raw footage can be provided for viewing purposes on a USB stick for an additional charge of £100.
​
11.8 Re-edits or any additional changes, beyond technical resolutions, will be charged at a rate of £20 per hour of editing time.
12. Attendance
12.1 In the unlikely event of the videographer being unable to attend your wedding due to unforeseen circumstances, you will receive a full refund (including deposit).

12.2 We are not liable for any failure or delay in performing our obligations where such failure or delay results from any cause that is beyond our reasonable control. Such causes include, but are not limited to:

Power failure, Internet Service Provider failure, industrial action, civil unrest.

Weather conditions (rain, fog, sleet, hail, or any adverse condition that is not consistent with the prescribed shooting conditions desired by the Client).

Injury, illness, or absence of client

“Force majeure” (meaning but not limited to, fire, storms, earthquakes, acts of terrorism, riot, flood, volcanic eruption, acts of war, governmental action, strikes, labor unrests, civil authority, and acts of God).
13. Liability
13. 1 In the unlikely event of complete equipment failure or other circumstances outside our control which means we are unable to film your wedding, you will receive a full refund (including deposit). We will not be liable for any further damages.

13.2 If a technical error occurs during filming of a client’s event: for example, if their ceremony is not recorded a partial refund will be issued to them. If other parts of their day are missed, a partial refund to the value of that section of video will be refunded.

13.3 In the event of rain, snow or any form of weather disturbances, Luke Taylor Videography will make the necessary changes to continue adequate capture of the days as it unfolds, and will not be responsible for any disappointment caused by the weather. However, Luke Taylor Videography with the co-operation of the client will do their best to produce coverage of the wedding within the time allocated to them.
14. Luke Taylor Videography Copyright Terms

14.1 Luke Taylor Videography holds copyrights on all video taken. Therefore, the client has no rights to sell, re produce or advertise using any video taken without written consent from Luke Taylor Videography.

14.2 Luke Taylor Videography reserves the right to use video footage taken on their website and social media pages, for advertising purposes (although the client maintains the right to opt out of this without reason).
14.3 All information collected on the clients of Luke Taylor Videography is protected and will not be passed on or sold to other companies.
​
15. Terms of Delivery
​
15.1 Videos are filmed and edited in 4K resolution (3840x2160) at 60 frames per second. Because of this, the output file size is very large. You will be provided a link through which to download this once complete, so please ensure that sufficient storage space is available. Alternatively the video can be provided on a USB stick for an additional charge of £30.
​
15.2 Clients’ have 7-days from delivery of their finished video to request any changes. If Luke Taylor Videography does not hear from the client within 7-days, then the video will be considered complete.
​
15.3 Any requested changes must be communicated in detail and in writing (via email).
​
15.4 The client will receive a 'full-day' wedding film comprising a chronological story from start to finish unless otherwise stated and agreed upon in writing.

16. Health and Safety
​
16.1 We will work with Health and Safety issues in mind and reserve the right not to film in dangerous or unsafe situations.
